This is the privacy policy of Total Forms Pty Ltd trading as Catsoft, outlining our commitment to you regarding collection and use of personal information.
 

The kinds of personal information that Catsoft collects and holds

In order for Catsoft to provide products and services to you, we will need to collect from you, and hold, some personal information about you. That information includes your name, address, telephone or mobile number, email address, Tax Agent Number, Australian Business Number, and password for accessing Catsoft services.

You must provide similar details of your authorised representative, such as that of a trusted employee, in order for them to access products and services. You must ensure that you have obtained the consent of such persons to us collecting and holding their personal information.

Credit card details you provide to make payment on our website are passed directly to banking merchant services. Catsoft does not store credit card details.

If you are unwilling to provide Catsoft with some details, we would be unable to supply you with a licence to use the product that you wish to purchase, or provide you with a service that you wish to access. It is not possible to purchase a licence from Catsoft under a pseudonym.
 

How Catsoft collects and holds personal information

Catsoft collects personal information about you when you apply for a product or when you update personal information that you provided to us previously. This information must be submitted to Catsoft by email or through the post.

You will be asked to disclose your personal information, along with your licence number allocated upon purchase, in all your telephone interactions with Catsoft. We will compare what you provide with the personal information we already hold in order to verify your identity. Catsoft would be unable to fulfil any request or grant access to product or service if we are unable to verify your identity.

Catsoft may also collect personal information about you from third parties, where we have engaged with third party service providers or have received marketing leads from third parties.

The personal information is held in secure electronic databases. Catsoft will use reasonable endeavours to ensure that the personal information is accessible only to authorised personnel.
 

The purposes for which Catsoft collects, holds, uses and discloses personal information

Catsoft will only use your personal information for the following purposes:

  • • To verify your identity;
  • • To meet our regulatory requirements and legal obligations;
  • • To provide and develop the products and services that you require;
  • • To administer and manage Catsoft products and services including licence renewal, billing and payment processing, user verification and debt collection;
  • • To communicate directly with you about impending releases, promotions, incidents and outages, and other notifications to enhance your experience;
  • • To provide incident management, software or security releases and updates, related email notifications and bulletins, and any other messages to you;
  • • To conduct appropriate checks for credit worthiness and for fraud prevention;
  • • To comply with requests for information issued by the Australian Taxation Office (ATO), other agencies and courts that are entitled to obtain information under Australian law.

 
The above uses may require disclosure of the personal information to third parties including but not limited to:

  • • to credit reporting agencies;
  • • to third parties where you have given consent to the disclosure; and
  • • to government, law enforcement and national security agencies and regulatory bodies where this is necessary for us to comply with our legal obligations.

 
If you do not wish to receive marketing material from Catsoft about events, products and services, you may send an email with your full name and licence number to nomarketing@catsoft.com.au and Catsoft will not send to you any communications about such products and services. If you have more than one licence number, you must include them in the email.
 

How you may access personal information and seek the correction of such information

It is your responsibility to ensure that your personal information is updated with any changes to ensure that the information is accurate, complete and up-to-date, as it pertains to your licence for a product or service Catsoft provides to you. Inaccurate and incomplete personal information may result in your product or service being inaccessible to you.

You can update your personal information (such as contact details) by sending an email to accounts@catsoft.com.au quoting your full name and licence number and requesting for specific changes to your details.

If you wish to access the information we hold about you, please send an email to our privacy compliance officer (see contact details below) and we will respond to you within 30 days of receipt of your email. A handling fee may be payable so that we can obtain the information you require.

Protection of your personal information

Catsoft will take all reasonable and practicable steps to ensure that your personal information is properly protected from misuse or loss, and unauthorised access, modification or disclosure.

At the same time, we are committed to providing innovative and interactive experiences, and to being available to users on multiple platforms. Some of those platforms are not operated or controlled by Catsoft, and our ability to protect your personal information is limited.

We encourage you to be vigilant about the protection of your own personal information when using third party services (such as social media platforms). As far as reasonably practicable, we will make sure that our relationships with those third parties include appropriate protection of your privacy.

Catsoft is continuously improving and enhancing its products and services to our clients and we may update this policy from time to time. Any changes to this policy will be updated on this page on the Catsoft website.
